Travel and Accommodations
Senior PIs are encouraged to use their own grant funding if possible to cover flight costs. Please indicate on the registration form if you would like to apply for travel funding from the MPRU and please indicate the amount needed. Funds will be awarded subject to availability on a first-come first-serve basis with priority given to early career investigators and students. Flights for early careers and students will be fully funded. The closest airports to Glenburn are OR Tambo International Airport (JNB) and Lanseria International Airport (HLA). JNB is about 1h drive from Glenburn. Lanseria is about 30min drive from Glenburn. Please allow extra time for traffic.
The MPRU will arrange ground transportation to/from the airport. In order to facilitate arranging airport pick up and drop offs, it is very important to share your flight information on the registration form. If you have not yet booked your flight, leave the section blank and please still submit the rest of the form. You will be able to update the form after submission.
The MPRU will cover the cost of accommodations in either a standard hotel room or a hotel chalet room (single occupancy). Room preferences are subject to availability and will be given first-come first-serve. For more info about room types, see below and also at Glenburn’s website.
Standard hotel room
Has double/twin beds (king-size bed or 2 twin beds), en-suite bathroom, and balcony.
Hotel Chalet room (priority will be given to those traveling with young children or those in need of kitchen facilities)
Each chalet has 2 or 3 bedrooms, a shared kitchen, and a shared lounge. Single occupancy means 1 person per bedroom, not 1 person per chalet. All bedrooms have an en-suite bathroom and each bedroom door has a lock. The kitchen is equipped with a two plate stove, fridge and microwave oven.
Garden Suite (limited number available for those who wish to privately pay an extra R680 per night; payment arrangements to be made directly with Glenburn. You may not select this option if the MPRU is supporting your travel expenses)
A Garden Suite room is a larger room semi-separated from the main hotel with a private patio.
If you bring extra guests, you are responsible for any additional costs. Payment arrangements should be made directly with Glenburn. It is important to indicate on this form whether you will be bringing extra guests to help ensure appropriate arrangements are made. It is also advisable to directly confirm with Glenburn your particular arrangements.
If you plan to bring children, please note that an additional adult caretaker should also be present. Children will generally not be allowed in the sessions.
Room capacity: each room has a maximum capacity of 2 adults + 1 child under 12 years old. For rooming, children 12 and older will be considered adults. This means you may at most have 1 person 12 yo and older and 1 person under 12 yo stay with you in your room.
Other additional people will require separate rooms and will be charged full conference rates (R1780 per night single occupancy or R1300pp per night double occupancy in standard hotel / chalet, plus R130pp for braai). Includes all meals.
Extra fees for extra guests staying in your room:
1 Adult (12 yo and older): R820 per night (Standard hotel / chalet room) or R920 per night (suite). Plus R130 for braai. Includes all meals.
1 Child (6-11yo): R650 (Standard hotel / chalet room) or R845 (suite). Plus R65 for braai. Includes all meals. Glenburn can put a mattress on the floor, but space will be tight.
1 Baby (0-5yo): no additional charge. Glenburn will provide a travel cot or mattress on the floor.
